Information notice on the processing of personal data of contact persons, legal or contractual representatives, collaborators, employees and/or other natural persons indicated by the Client/collaborator/supplier legal entity

IMPERIAL STUDIO S.R.L., with registered office in Sibiu, Nicovalei nr. 6B, jud. Sibiu, working point Sibiu, str. Balantei nr. 14, registered at the Trade Register Office of the Sibiu Tribunal under J32/242/2014, CUI RO 32896368, having regard to the European Regulation 2016/679 on the protection of individuals with regard to the processing of personal data and on the free movement of such data (“Regulation”),

we hereby inform you how we protect your personal data and how we comply with the Regulation

What personal data we process:

In the context of the conclusion and execution of a contract between the undersigned and the legal entity that you represent (the Contract), as well as for the fulfillment of our legal obligations as operators, we will process a series of personal data, namely: personal data of your contact persons, such as, but not limited to: legal representatives, contact persons from the accounting department, logistics, etc., consisting mainly of identification data such as:

  • full name
  • e-mail address
  • telephone number

Thus, we inform you that you have the obligation to ensure that data subjects are adequately informed insofar as they are not directly informed by this communication.

Purpose: protection of personal data

In accordance with the legislative provisions imposed by the European Union through the General Data Protection Regulation no. 679/2016, supplemented with the Romanian legislation in force, IMPERIAL STUDIO SRL assumes the legislative provisions and undertakes to manage in secure conditions and only for the stated purposes, the personal data that are provided by you through forms, orders, addresses, emails or our web applications.

The purpose of collecting the data specified above is the one stated in the section where your data is requested and depending on the options selected, and the purpose may identify one or more of the following situations:

  • to improve the quality of IMPERIAL STUDIO SRL products and services in order to meet the needs of customers/collaborators and to provide news about the products and services offered;
  • delivery, invoicing, rendering, provision, purchase of products and/or services including invoicing;
  • information about the order placed, order details, routes, loading/unloading addresses
How we process personal data:

The aforementioned processing of personal data is based on the performance of contracts concluded with us, or, where applicable, on the need to comply with a legal obligation in the field of accounting or other such regulations.

We process the personal data of your contact persons for the purpose of sending communications to them in order to conclude and execute the Contract.

IMPERIAL STUDIO SRL processes your personal data, by automated and manual means, in order to perform services to customers / collaborators / suppliers, to issue tax invoices, to collect the related receivables and to resolve your requests in connection with the activity carried out by IMPERIAL STUDIO SRL.

Your data is necessary for the conclusion of contracts, the execution of services, the issuance of invoices for services, the collection of related claims and the resolution of your requests in connection with the activity carried out by IMPERIAL STUDIO SRL.

Please note that your refusal may result in the impossibility to provide the services/products.

The recorded information is intended for the use of IMPERIAL STUDIO SRL and is communicated only to the following recipients: the employees responsible for the fulfillment of the contract.

What are the rights of data subjects and how can they be exercised:

As a controller we have an obligation to ensure data subjects exercise their rights. Therefore, we plan to implement measures/procedures to ensure that data subjects’ rights are respected such as:

  • Right to information = the right to be informed about the processing and protection of personal data by us;
  • Right of access to data = the right of the data subject to obtain from the data controller, upon request and free of charge, confirmation as to whether or not personal data relating to him/her are being processed by the data controller;
  • Right to rectification = the right of the data subject to obtain, on request and free of charge, the rectification of inaccurate data relating to him or her and the completion of incomplete data;
  • Right to erasure of data (‘right to be forgotten’) = the right of the data subject to obtain, on request and free of charge, insofar as the conditions laid down by law are met, the erasure of personal data concerning that person;
  • The right to restriction of processing = the right of the data subject to obtain, on request and free of charge, insofar as the conditions laid down by law are met, the marking of stored personal data in order to restrict further processing;
  • The right to data portability = the right of the data subject to receive, on request and free of charge, personal data in a structured, commonly used and readable format and the right to have such data transferred by the company to another data controller, provided that the conditions provided for by law are met;
  • The right to object = the right of the data subject to object at any time, on compelling legitimate grounds relating to his or her particular situation, to the processing of personal data relating to him or her;
  • The right not to be subject to an individual decision = the right of the data subject to request and obtain the withdrawal, erasure or reassessment of any decision based solely on automated processing (including profiling);
  • Right to go to court or to the National Supervisory Authority for Personal Data Processing

In accordance with the legislation in force, you have the right of access, the right to intervene on the data, the right to object to the processing of your data, the right to withdraw your consent or data, the right not to be subject to an individual decision. You also have the right to object to the processing of personal data concerning you and to request erasure of the data.

You are also recognized the right to take legal action. Your data may be transferred abroad only to the extent that the third parties involved are not from Romania and this is necessary to fulfill the purpose of the contract.

While we process personal data:

Personal data is processed throughout the contractual relationship between us and the legal entity you represent, and after its termination, but in the latter case limited to the period required by the applicable legal provisions, including, but not limited to, the provisions on archiving and accounting, among others.

We communicate personal data to other recipients:

For the above purposes, we may transmit personal data to public authorities, judicial bodies, external consultants, processors to whom we have outsourced the provision of certain services such as legal services, audit services, transportation services, certified translation services, etc., but always ensuring that we put in place adequate safeguards to protect your data.

Also, in order to fulfill contracts to which you are a party, and include external third parties, we transfer personal data outside Romania, to countries within the EU or outside the EU.

We do not use IT techniques involving automated decision-making (including profiling)
